Maggie Valley Moonlight Race August 17th & 18th, 2007

Volunteers make the Moonlight Race Successful!
This year's event will require more than 100 volunteers willing to donate their time and energy to make the race an overwhelming success. What is it all about??

 

Benefits and Requirements

·     Free volunteer T-shirt.

·     Free Entry to the post-race party and eligible to win door prizes at awards ceremony.

·     Must be 15 years or older. (Volunteers under 15 must be accompanied by an adult.)

Pre-Race – administrative / data entry, race entry distribution, packet stuffing, logistics, set-up, expo, signage, late registration and packet distribution.

Race Day – parking, late registration and packet distribution, logistics at venue and finish line, course marshals, water stations, hospitality, post race party, kid’s races, venue breakdown and cleanup.

Volunteer Job Descriptions

 

Race Entry Distribution (5 Volunteers)

Distribute race entries to various retail locations around the Maggie Valley area. This duty will take place during July and early August.

 

Packet Stuffing (20 Volunteers)

Work with a team of volunteers to put together race goodie bags for runners and volunteers. This will most likely take place August 11th at a yet determined location.

 

Logistics, Setup & Breakdown (20 Volunteers)

Logistics volunteers assist with Thursday, Friday and early Saturday morning of race weekend with race course barricades and traffic control devices. This is a physically demanding job. Three-hour shifts are available Thursday, Friday and Saturday.

 

Signage (5 Volunteers)

Work with a team of volunteers in the placement and handling of venue and race logistics signage as well as sponsor banners at the race venue and Health, Fitness and Outdoor Expo. Friday, August  17th, 8AM – Noon, Saturday, August 18th, 10PM – Midnight and Sunday, August 19th, 10AM – Noon.

 

Expo (5 Volunteers)

Work with expo management and vendors at the Health, Fitness and Outdoor Expo. Friday, August  17th, 10AM – 1PM, Saturday, August 18th, 11AM – 1PM.

 

Late Registration and Packet Pickup (30 Volunteers)

Assist runners with registration at the Health, Fitness and Outdoor Expo on Friday, August 17th, 11AM – 6PM Saturday August 18th, 11AM – 4:30PM or 4:00PM – 8:30PM.

 

Parking (10 Volunteers)

Assist runners and spectators with parking close to and remote from the venue on Saturday, August 18th, 5PM – 8PM.

 

Course Marshals (40 Volunteers)

Positioned at various points on the race course, course marshals ensure runners follow the route and assist law enforcement with traffic control. Course marshals also cheer the runners on as they pass. Saturday, August 18th, 6PM – 9:30PM.

 

Water Stations (30 Volunteers)

Positioned at various points on the race course, water station volunteers ensure runners have water or performance beverage as needed. Water Station volunteers also cheer the runners on as they pass. Saturday, August 18th, 6PM – 9:30PM.

 

Finish Line (10 Volunteers)

Positioned at the finish line, these individuals retrieve the time-recording chips attached to runners' shoes and turn those chips in to race officials for timing results. Finish line volunteers also direct and assist runners to water and refreshments as well as assist medical personnel if there is a runner in distress. Saturday, August 18th, 5:30PM – 9:30PM.

 

Hospitality and Post Race Party (10 Volunteers)

Assist in the preparation distribution of food and beverages to runners and guests at the post race party. Saturday, August 18th, 5:00PM – 10:00PM.

 

Kid’s Races / One Mile Fun Run (10 Volunteers)

Assist with the distance appropriate Kid’s races for ages toddler – age 10. Saturday, August 18th, 5:45PM – 7:00PM.

 

Venue Breakdown and Cleanup (20 Volunteers)

Breakdown of venue on Saturday, August 18th, 8:00PM – 12 Midnight. This job is physically demanding.

OFFICIAL WAIVER: I know that volunteering at this event may have certain risks associated with traffic, weather conditions or other unknown risks. Having read this waiver and knowing these facts and in consideration of acceptance of my entry, I for myself and anyone entitled to act on my behalf, waive and release Motion Sports Management, the Maggie Valley Area Visitors Bureau., Town of Maggie Valley, Haywood County, the State of North Carolina and any and all persons, sponsors and entities, their representatives and successors from all claims or liabilities of any kind arising out of my participation even though said liability may arise out of negligence or carelessness on the part of the persons named in this waiver. I grant permission for all of the foregoing to use any photographs, motion pictures, recordings, or any other record of this event for any legitimate purpose. Parents must sign if participant is under 18 years of age. This is to certify that my child has permission to complete in this event, is in good physical condition and that event officials may authorize necessary emergency treatment.
